Apartment contracts and instalment plans: 5-minute contracts and payment control in MemorCRM

Contracts from passport data in 5 minutes, automatic instalment schedules and receivables control: how it works in MemorCRM.

Published: 4 min read
Short answer: When apartments are sold on instalments, money leaks in two places: slow, error-prone contracts and unmonitored payments. In MemorCRM a contract is generated from passport data in about 5 minutes, a 12 to 48 month schedule is calculated automatically, and the system reminds before each due date. MemorCRM is built on Odoo and is developed and implemented by Deep Vision.

Developers in Uzbekistan sell a large share of apartments on instalment plans. That lifts sales but creates new work: a separate schedule for each buyer, monthly tracking of who paid and who is late, and constant data exchange between salespeople, cashiers and accountants. Run in Excel, receivables grow quietly. This article covers how to automate contracts and payment control.

What does automating apartment contracts give you?

An automatic contract is a document generated with one click from a ready template and the buyer's data, with no manual typing.

According to MemorCRM, a handwritten contract takes about an hour and still contains errors: one wrong digit in a passport number, the wrong unit area or an outdated price. In MemorCRM the salesperson enters passport data, all buyer details are pulled in and filled into the contract, and the unit number, area, price and schedule come from the system record. The salesperson only checks it, and the contract is ready in about 5 minutes.

That matters for sales: the buyer can sign in the same meeting where they decided. "We'll prepare the contract tomorrow and call you" gives them time to look at other options.

How is an instalment schedule built?

In MemorCRM the salesperson picks two things:

  • the down payment;
  • the term (12 to 48 months).

The system builds the monthly schedule from the apartment price. Several options (say 24 and 36 months) can be compared with the buyer on the spot, so they choose a plan that fits their budget faster. No more time spent calculating and re-checking each schedule by hand.

How should payments be monitored?

Payment control means seeing on one screen who paid, who owes and whose due date is approaching.

In MemorCRM every payment is linked to a contract and schedule. The system tracks invoices and payments, flags upcoming due dates in advance and sends reminders. Click and Payme integration lets buyers pay online, and SMS reminders go out through Eskiz.uz. Cashiers and the finance team have their own role.

Do reminders actually improve payment?

Here the research calls for care. In a J-PAL experiment in the Philippines (1,259 borrowers), generic SMS reminders did not significantly raise repayment on average. But when the reminder named the staff member who served the client, among clients who had worked with that person before, the chance of a loan being unpaid 30 days after maturity fell by 5.5 percentage points, or 41% (J-PAL).

The lesson: a reminder alone is not enough; it should be tied to a responsible person the buyer knows. In MemorCRM each buyer has a named salesperson and full contact history on one card, so it is clear who makes the personal call after the reminder.

Where should passport data be stored?

Under Uzbek law (Article 27-1 of the Law "On Personal Data", added by Law ZRU-666 and in force since 15 April 2021), organisations processing Uzbek citizens' personal data with information technology must store it on technical means physically located in Uzbekistan (Mondaq). According to MemorCRM, its server is in Uzbekistan, data is encrypted and backed up daily, and access is role-based. Confirm the exact requirements with your lawyer.

Self-check: are your payments under control?

  • How many minutes does one contract take?
  • Can you show a buyer 2 or 3 instalment options during the meeting?
  • Can you say in one minute who is overdue today?
  • Do sales, the cashier and accounting see the same numbers?
  • Where is buyers' passport data kept, and who has access?

How does Deep Vision set this up?

MemorCRM is Deep Vision's own product. Deep Vision is an official Odoo Gold Partner in Tashkent with 7 certified experts and 89% customer retention (Odoo partner page). During rollout the team loads your contract template, migrates existing contracts and payment schedules from Excel, and connects Click, Payme and SMS. Because MemorCRM is built on Odoo, payments can later run in the same database as accounting, and Deep Vision has a ready module for e-invoicing through Didox.
