Apartment availability chart and interactive showroom: how MemorCRM ends double selling

Why an Excel availability chart is risky, how MemorCRM structures a complex, and how the showroom ends a meeting with a concrete choice.

Published: 5 min read
Short answer: An apartment availability chart (the "chessboard") shows every unit in a residential complex by building, block and floor with a colour-coded status. In MemorCRM that chart becomes an interactive showroom: a salesperson finds an available unit in seconds in front of the buyer, books it in one click, and the risk of selling one apartment twice disappears. MemorCRM is built on Odoo and developed by Deep Vision.

A developer's most expensive mistake is promising one apartment to two buyers. It usually happens when the Excel chart was not updated or two salespeople opened the same file at once. The company then apologises, gives a discount or loses the buyer. This article covers how an apartment availability chart should work and how the MemorCRM showroom speeds up sales.

What is an apartment availability chart?

It is a visual grid where every apartment in the complex is a cell placed by floor and entrance, with its status shown by colour.

A paper or Excel chart goes stale within a day: a booking is made, a booking is cancelled, a price changes, and the file is not updated. So the chart should not be a picture but part of the sales system itself: linked to bookings, contracts and payments, and updated with every change.

How are projects structured in MemorCRM?

MemorCRM stores the whole complex as a hierarchy:

  • Residential complex
  • Building and block
  • Entrance
  • Floor
  • Apartment

Each apartment carries its price, area, room count and finishing status. There are four statuses: Available, Booked, Sold, Not for sale. During a sale the unit moves through Available, Booked, Sold, Keys handed over. The chart can be exported to Excel or PDF, for example for management or a bank.

How does an interactive showroom help sell?

The showroom lets a salesperson show available units on a live floor plan without searching in front of the buyer.

For a buyer, choosing an apartment means comparing layout, floor, orientation and price. In a 2013 Rightmove survey in the UK, more than a third of buyers said they were less likely to enquire about a property without a floorplan, and one in five would ignore such a listing altogether (Rightmove). It is a different market and an older study, but the point travels: buyers want to see the plan.

In the MemorCRM showroom:

  • the whole complex is on one map;
  • each apartment is marked with a colour-coded status;
  • a click shows the unit number, rooms, area, floor and status;
  • you can go straight from that window to creating a contract.

The meeting ends with a concrete choice, not "I'll send you a list later".

One-click booking: how does double selling disappear?

When a booking is made in one place as one record, the unit switches to "Booked" at once and other salespeople can no longer see it as available. Every change is logged with time and owner, so in a dispute it is clear who booked it, when, and for which buyer.

This removes errors and gives management real numbers: which block sells best, which floors and layouts are in demand, which units have stayed available for a long time. Pricing and discount policy can be adjusted on that basis.

How should prices and discounts be managed?

Each apartment's price is stored in the system, so a salesperson cannot quote a price "of their own" and there is no confusion about who was told what. When an instalment plan is chosen (down payment plus 12 to 48 months), the monthly schedule is calculated from that price automatically. More in our guide to management accounting.

Self-check: can you trust your availability chart?

  • Is the chart updated immediately after each booking?
  • Can two salespeople book the same unit at the same time?
  • Can you see who booked a unit and when?
  • Can you show a buyer the floor plan during the meeting?
  • Do you know which units have been available for more than 3 months?

How does Deep Vision launch the showroom?

MemorCRM is Deep Vision's own product, and Deep Vision is an official Odoo Gold Partner in Tashkent with 7 certified experts and 89% customer retention (Odoo partner page). According to Deep Vision, MemorCRM runs in more than 40 residential complexes and over 12,000 apartments have been sold through it.

At launch the team enters your complex structure (building, block, entrance, floor, apartment), migrates prices and statuses from your current Excel and trains salespeople on the showroom. On the MemorCRM site you can also generate a demo database with your company name, logo and number of units. Request a free demo. For construction ERP in general: ERP for construction companies.

Frequently asked questions

Can I run several complexes in one system?

Yes. MemorCRM's structure starts at the residential complex level, so several projects sit in one system, each shown separately.

Can I send the chart to a buyer?

Yes, the chart exports to Excel and PDF.

What is the "Not for sale" status for?

To mark units the company has withdrawn from sale for its own use, for an investor or another reason. Salespeople will not see them as available.

Does the showroom work on a phone?

MemorCRM works on both computer and phone, so a salesperson can show units on site.
