An Odoo partner who understands finance: why your chart of accounts, costing and reports must add up

Sales and inventory work, but the numbers do not add up? How to set up Odoo finance correctly and choose a partner who understands accounting.

Published: 6 min read
Short answer: If the finance side of Odoo is configured wrongly, cost, profit and tax reports will be wrong even while sales and inventory appear to work. That is why your partner's team needs someone who understands the chart of accounts, VAT, costing methods and period closing. Deep Vision's team includes experienced specialists with finance knowledge, and Odoo 19 includes an official accounting localization for Uzbekistan.

In many ERP projects the first months go well: orders are entered, stock moves are visible, staff get used to the system. Trouble appears at month or quarter end: the balance sheet does not match the warehouse, profit differs from the Excel version, and the VAT report needs manual fixes. Usually the software is not to blame; the team that set up Odoo finance is. This article explains why your partner must understand finance, what to check, and how Deep Vision approaches it.

What does setting up Odoo finance correctly mean?

Configuring Odoo finance means setting the chart of accounts, taxes, costing method, inventory valuation, bank and cash, and period-closing rules in line with the company's accounting policy. These settings are made once, but every sale, purchase and stock move passes through them to become a journal entry. One wrong setting produces thousands of wrong entries.

In Odoo the modules share one database: a sales document automatically creates revenue and receivable entries, and a delivery creates cost-of-goods entries. That is a major advantage, but only if the configuration is right. An overview of the module's features: Odoo Accounting module.

Where does an implementer without finance knowledge go wrong?

The most common mistakes in practice:

  • The chart of accounts is built at random. Accounts are split needlessly by department, branch or product group, or stay far too general. As a result, the management report is assembled by hand every month.
  • VAT is set up incorrectly. The VAT rate in Uzbekistan is 12%. Whether tax is included in the price or added to it, which operations are exempt, how input VAT is recorded: each of these is a separate setting. More: Taxes and VAT in Odoo.
  • The costing method is picked without thought. Odoo offers standard price, average cost (AVCO) and FIFO. A wrong choice distorts profit and stock value, and changing it later is complicated.
  • Inventory valuation is not linked to accounting. The warehouse shows one number, accounting shows another, and someone reconciles them by hand every month.
  • Bank and cash reconciliation is not set up. Payments are not matched to invoices, and the receivables list stays unreliable.
  • There is no period-closing routine. Back-dated documents land in closed months and reports change every time they are run.

An older Panorama Consulting survey (covering 2012) found that 60% of ERP projects received less than half of the expected benefits (Datamation). Gartner's recent forecast is similar: more than 70% of ERP initiatives will fail to fully meet their original goals (Gartner). When the finance side is wrong, the owner does not get the main thing an ERP should deliver: numbers they can trust.

What can a finance setup error cost the business?

An illustrative example (numbers for explanation only). Assume monthly sales of 2 billion UZS and cost of goods sold of 1.6 billion UZS. If a wrong costing method or inventory valuation understates cost by just 2%, reported profit is inflated by roughly 32 million UZS a month, or more than 380 million UZS a year.

Based on that "paper profit", an owner might cut prices, pay bonuses or open a new branch. The error usually surfaces at the annual stock count or a tax audit, when fixing it is far more expensive. A consultant who knows finance spots the gap at the first month-end close.

How do you run management and tax accounting in one system?

Tax accounting serves the reports the law requires; management accounting serves the owner's decisions. Many companies keep them in two programs or in separate Excel files, and the numbers never match.

In Odoo both can live in one database. The main tools are analytic accounts (by branch, project or business line), budgets and customisable reports. But this only works if the accounting policy and analytic structure are designed at the start of the project. A team without finance expertise usually configures only the tax side and leaves management accounting for "later". On management accounting: What is management accounting.

Which finance requirements are specific to Uzbekistan?

Odoo 19 includes an official accounting localization for Uzbekistan. It provides a ready base for the chart of accounts and taxes, but it does not replace adapting them to each company's accounting policy. In addition, companies in Uzbekistan work with electronic invoices, and some goods go through digital product marking. If these processes are not connected to accounting, documents get entered twice. On e-invoice integration: Didox and ERP integration.

How to check a partner's finance competence: a question list

Bring your chief accountant or CFO to the first meeting and ask:

  • Who owns the finance side of the project, and what is their accounting or finance background?
  • How will you build the chart of accounts: from a template, or from our accounting policy?
  • Which costing method do you recommend for us, and why?
  • How do you make sure inventory value and the balance sheet match automatically every month?
  • How are opening balances (stock, receivables, payables) migrated, and who checks them?
  • What will the month-end close look like, and how is a closed period locked?
  • How are VAT and electronic invoices handled?

Warning sign: the team answers "your accountant will set that up later", leaves finance outside the project scope, or proposes rolling out inventory and accounting as separate, unconnected phases. Expect the numbers not to match.

How does Deep Vision set up the finance side?

Deep Vision is an official Odoo Gold Partner based in Tashkent. Our odoo.com page shows 7 certified experts (Odoo 17 to 19), 20+ client references and 89% customer retention (partner page). For Gold status, Odoo requires at least 80% retention (Odoo partner programme).

Our team includes not only programmers but also experienced specialists who know industries and finance. What we do on the finance side:

  • In diagnostics, a separate session with the chief accountant and finance lead: accounting policy, reports, pain points.
  • Adapting the chart of accounts and analytic structure to the company, starting from the Uzbekistan localization.
  • Configuring the costing method and inventory valuation together with the accounting team.
  • Connecting our ready-made modules for e-invoices via Didox and for Asl Belgisi.
  • Migrating opening balances and running the first month-end close together with the client's accountants.

We have moved companies to Odoo from 1C, SAP and scattered tools, so moving balances from an old system into a new chart of accounts correctly is familiar work for us. Service details: Odoo implementation.

Frequently asked questions

Does Odoo fit accounting in Uzbekistan?

Odoo 19 includes an official accounting localization for Uzbekistan. It provides the base; adapting it to your company's accounting policy is part of the implementation.

Does our chief accountant need to be involved?

Yes. Only the company's finance owner can approve decisions about finance settings. Accounting configured without them usually has to be redone.

Can the costing method be changed later?

Technically yes, but it affects stock value and past-period reports. Choosing the right method at the start is cheaper.

Do we need separate software for management accounting?

In most cases, no. With analytic accounts and customised reports, management accounting can run inside Odoo.

How are balances moved from the old system?

Usually stock, receivables, payables and account balances are loaded as of a cut-off date and reconciled from both sides. Whether full history needs migrating is assessed separately.
