How a supermarket or store chain runs on Odoo: POS till, loyalty programmes, branch stock, automatic replenishment, marking at the till and cash control in one system.

Chakana savdo uchun Odoo POS
Short answer: Odoo ERP gives retail chains and supermarkets one database for the till (Odoo POS), stock, purchasing, loyalty programmes, the online store and accounting. Every receipt immediately reduces that store's stock, closing a shift posts the takings to accounting, and head office sees sales, stock and cash for every store in real time. Uzbek requirements such as online cash registers, Asl Belgisi marking, Payme/Click payments and Didox are connected through integrations.

Uzbekistan's retail market has grown noticeably in recent years, and competition has grown with it. In this environment, fast and accurate management is a serious advantage. Yet in many chains each store lives in its own program or spreadsheet, the cash drawer does not match the report, promotions depend on the cashier's memory, and fast sellers run out while slow movers gather dust.

In retail, every minute and every incorrect stock figure means a lost sale. This article shows how a store chain or supermarket runs on Odoo: the till, loyalty, branch stock, replenishment, marking, cash control and reports. Still choosing software? What is Odoo ERP for retail?

Odoo ERP for retail is a set of connected apps that run the till, stock, purchasing, customers, promotions and finance in one system. Unlike a standalone till program, it sees the whole chain from supplier delivery to the accounting entry.

Typical apps in a supermarket or store chain:

  • Point of Sale (POS): till, receipts, refunds, shifts, payment methods.
  • Inventory: stock per warehouse and store, transfers, counts, expiry dates. More: Odoo Inventory: warehouse management.
  • Purchase: supplier orders, purchase prices, receipts.
  • Loyalty: loyalty cards, promotions, coupons, gift cards.
  • Accounting: takings, payments, cost of goods, profit and loss.
  • eCommerce: an online store on the same catalogue and stock.

A product moves from purchase order to scanned receipt, transfer to a store, sale at the till and accounting entry, and a new purchase is suggested when stock hits the minimum. Nothing is typed in twice, and that cuts errors and losses.

What problems do supermarkets and store chains face?

Most problems in a chain have one root cause: till, stock, purchasing and accounting data live in different places. The most common:

  • Stock does not match. The system says 20 units, the shelf has 12, and nobody knows why.
  • Cash shortages. Cash, card terminal and Payme/Click takings do not match the report at shift end.
  • Stock-outs and overstock. Buying by eye: bread or milk runs out while slow items pile up.
  • Manual promotions. Discounts are forgotten or given after the promotion ends.
  • Expired goods. Nobody sees which batch expires when, so write-offs become losses.
  • Marking errors. The till rejects a DataMatrix code and a queue builds up.
  • Late reports. Consolidating branch results takes days.
  • Online and offline apart. A website or Telegram order does not reduce stock.

How does the Odoo POS till work?

Odoo POS is a till app that runs in a web browser on a PC, tablet or touchscreen terminal and links every sale to stock and accounting.

What matters for a supermarket:

  • Barcodes and scales. Odoo also reads scale labels with the weight or price built into the barcode.
  • Hardware. Scanners, receipt printers, cash drawers, scales and customer displays connect directly or through the Odoo IoT Box.
  • Split payments. Part cash, part card on one receipt.
  • Cashier login with a PIN. Each receipt shows who rang it up; discounts and price changes can be limited to managers.
  • Invoices for companies. Issued straight from the till.
  • Offline mode. If the internet drops, the till keeps selling and syncs orders once the connection is back.

What should you plan for at the till in Uzbekistan?

  • Online cash registers (fiscalisation). Retail receipts are sent to the tax authority through an online or virtual cash register. Standard Odoo has no Uzbek fiscal module, so POS is integrated with a certified fiscal device or cash register provider. Check current rules with the tax authority.
  • Payments. Cash, Uzcard/Humo terminals, Payme, Click and Uzum are set up as separate payment methods, so each channel's takings show separately at shift close.
  • VAT. The tax rate (for example, 12% VAT) is set on the product and calculated automatically on the receipt and in accounting.

How do you set up loyalty cards and promotions in Odoo?

Loyalty programmes in Odoo are rule-based: you set the condition and reward once, and the till applies them to every receipt automatically.

Common programme types:

  • Loyalty card. Customers earn points and pay with them next time; they are found by phone number or card barcode.
  • Promotions. "10% off a category", "buy 3, pay for 2", "a gift over 300,000 sum".
  • Coupons and promo codes. Single-use or multi-use, with an expiry date.
  • Next-order coupons. A discount for the next visit, issued with the receipt.
  • Gift cards and eWallet. A prepaid balance accepted at the till as payment.

Practical advice:

  1. Check the margin first: does the product still make money after the discount?
  2. Limit promotions by date and store, for example one new store for one week.
  3. Use the same rules at the till and online.
  4. Compare receipts, average receipt and promoted item sales with the previous period.

A loyalty card also builds a customer base for personal offers by SMS or Telegram (via integration).

How do you manage stock across several branches from head office?

In Odoo each store is its own warehouse, while the catalogue, prices and reports are shared across the chain. Head office answers "how much of which product is in which store?" on one screen.

  • One catalogue. A product is created once and sold everywhere with the same name, barcode and item code. More: What is an SKU.
  • Branch pricing. Pricelists set separate prices and discounts per store or customer group.
  • Transfers. Surplus moves between stores, with goods in transit visible.
  • Access rights. A store manager sees only their store; head office sees everything.
  • Several legal entities. Stores registered to different LLCs or sole traders run in multi-company mode with consolidated reporting.
  • Stock counts. Partial counts by category instead of closing the store, with a reason for each difference.

For grocery and pharmacy chains, Odoo tracks batches and expiry dates and helps sell the batch that expires first (FEFO).

How do you automate replenishment?

Automatic replenishment means the system suggests a purchase or transfer based on the minimum and maximum stock set for each product in each store.

Setup in Odoo:

  1. Set stock rules. A minimum and maximum per product and store, for example drinking water: at least 60 packs, at most 150.
  2. Choose the supply route. Restock from the central warehouse, or have the supplier deliver straight to the store (bread, dairy and drinks often come this way).
  3. Let the system suggest. When stock hits the minimum, Odoo creates a transfer or a request for quotation, grouping items from the same supplier into one order.
  4. The buyer confirms. In the replenishment report the buyer reviews, adjusts and confirms quantities.
  5. Review rules regularly. Raise minimums before seasons, holidays and promotions; lower them for slow movers.

The result: fast sellers run out less often, and less cash is frozen in slow movers.

How does Asl Belgisi marking work at the till?

When a marked product is sold, the cashier scans the DataMatrix code on each unit, the code goes into the fiscal receipt and the item leaves circulation in the Asl Belgisi system. Mandatory marking covers groups such as tobacco, alcohol, beer, water and soft drinks, medicines and household appliances. The list keeps growing, so check the current status on aslbelgisi.uz.

The process in a supermarket:

  1. Receiving. Goods arrive with their codes listed in the electronic invoice. More: Electronic invoices: Didox and ERP integration.
  2. Hardware. Each till needs a 2D scanner; a regular laser scanner cannot read DataMatrix.
  3. Sale. The cashier scans the code and the system passes it into the fiscal receipt. An already sold or invalid code is rejected.
  4. Returns and write-offs. These also follow Asl Belgisi rules, or code statuses drift from reality.

Standard Odoo has no Asl Belgisi integration; Deep Vision has a ready-made Odoo module that is configured to your processes, not written from scratch. Full requirements: Asl Belgisi: a guide to digital marking.

Cash control: how do you reduce shortages and abuse?

Cash control in Odoo is built on shifts: a shift opens with a cash float, the counted cash at closing is compared with the expected amount, and any difference is recorded.

Tools that tighten control:

  • Opening and closing counts. The gap between expected and actual cash shows in the report.
  • Cash in and out. Collections and petty cash withdrawals are entered with a reason.
  • Reconciliation. Terminal, Payme and Click takings are matched against provider statements.
  • Restricted rights. Discounts, price changes and refunds only with a manager's approval.
  • Refund control. Each refund is linked to the original receipt: who, when and how much.
  • Report by cashier. Receipts, average receipt, discounts and refunds per employee.

At shift close, takings are posted to accounting automatically by payment method.

Which reports does management see?

Odoo builds reports from real till, stock and purchasing transactions, so they are ready at any moment. Key metrics for a retail chain:

  • Sales: revenue, receipt count and average receipt by store, day, hour and cashier.
  • Margin: gross profit by product and category (selling price minus cost).
  • Stock turnover: what sells fast and what sits on the shelf; ready data for ABC analysis.
  • Stock: quantity and value per store and warehouse, and how many days it will last.
  • Items near expiry: what to mark down or return.
  • Cash differences: shortages and overages by cashier and shift.

Reports can be filtered and exported to Excel; a daily summary can go to Telegram via integration.

How do you combine online and offline sales?

In Odoo the online store and the till share one catalogue, one stock level and one customer base, so a website order immediately reduces store stock.

  • Prices, promotions and loyalty rules work the same online and at the till.
  • Customers can order online and collect in store.
  • Orders from a Telegram bot or a marketplace reach Odoo through an integration and come out of the same stock.

How do you move a retail chain to Odoo, step by step?

Switching the whole chain in one day is risky; start with one pilot store, then add branches in waves.

  1. Assessment. Document current processes and list mandatory integrations.
  2. Catalogue clean-up. Bring products, barcodes, units, categories and prices into one format. This takes the most time.
  3. Hardware. Check scanners (2D for marking), printers, scales and terminals.
  4. Configuration and integrations. POS, Inventory, Purchase and Accounting; fiscal register, payments, Asl Belgisi and Didox.
  5. Opening stock. Count each store and load the balances.
  6. Pilot store. Run one store for 2–4 weeks and fix what you find.
  7. Training and roll-out. Train cashiers, store managers and buyers, then connect the other stores in groups.

Standard Sales and Inventory often go live in 6–8 weeks; a full multi-branch project with integrations usually takes 2–6 months.
