Sports clubs and court rental: bookings, memberships, coaches and café in one system

Padel, tennis and fitness clubs lose money and members when bookings, memberships, coaches and the café run separately. Here is what one system changes, with sourced numbers.

Short answer: Sports club management software brings court and studio booking, memberships, coach schedules and pay, the café till and online payment into one system. IHRSA research found that members paying month to month cancel four times as often as those on a 12-month contract, so automating memberships and renewals protects revenue directly. One system shows empty slots, members who owe money and café takings every day.

Padel, tennis and five-a-side clubs are multiplying in Uzbekistan, yet many still take bookings in Telegram, track memberships in a notebook and run the café on a separate till. The result: two bookings for the same hour, members playing on expired passes, and a monthly argument about coach pay. Sports club management software is built to remove exactly this kind of mess. This article covers which processes to automate first and what changes afterwards, with sourced figures.

Market growth makes this more urgent. The Global Padel Report 2026 by Playtomic and Deloitte counts 58,300 padel courts, nearly 20,000 clubs and 19.4 million players worldwide, and projects 91,000 courts by 2028 (Playtomic and Deloitte, 2026). As competition grows, service quality and the occupancy of every court decide who wins.

What is sports club management software, and what does it cover?

Sports club management software is a system that ties court and studio booking, memberships, coaches, payments and café sales to a single member profile.

A club earns money from several streams: hourly court rental, memberships, private and group sessions, tournaments, equipment hire, the café and the shop. When each stream lives in its own spreadsheet, the owner cannot answer "how much did we earn from this member this month?" or "which coach brings in the most clients?". In one system a member registers once, and all their bookings, payments, remaining sessions and café purchases sit on one profile. What are the most common problems in sports clubs?

In our experience with businesses like these, the same situations keep coming up:

  • Double bookings. The front desk takes bookings by Telegram and phone, the schedule is on paper or in Excel, and two groups turn up for the same hour.
  • Empty slots go unnoticed. Daytime and evening occupancy is not analysed, and time-based pricing is not used.
  • No-shows. A client books and does not come; with no prepayment, the court sits empty.
  • Membership control. Members keep coming after their pass has expired or run out of sessions, and no renewal reminder goes out.
  • Coach pay. Session counts, percentages and bonuses are calculated by hand, and disputes follow at month end.
  • The café is a separate world. The café till is not linked to the club system, so the member's total spend and stock levels are invisible.
  • Cash control. It is hard to check that cash taken at the court actually reached the till.

Retention matters most. IHRSA's "One Million Strong" study tracked about 1.5 million members: 67.2% stayed at least 12 months, the figure fell to 44.4% at 24 months, and month-to-month members were four times more likely to cancel than those on a 12-month minimum term (Health Club Management / IHRSA, 2015).

How do you automate court booking and online payment?

Online booking is a process where the client picks a free court and time, pays upfront, and automatically receives a confirmation and a reminder.

In practice:

  • Each court or studio is a separate resource with its own capacity and opening hours.
  • Prices vary by time and day: separate rates for mornings, daytime, the evening peak and weekends.
  • The booking page on the website or in Telegram shows only free slots, so a double booking becomes technically impossible.
  • Prepayment or a deposit through Payme, Click or a bank card. The audience is ready: a KPMG review for the Central Bank found card-based cashless payments reached about 72% of nominal GDP in 2025 (around 25% in 2021), and Click has more than 22 million registered users (UzDaily, KPMG, 2026).
  • Automatic reminders by SMS or Telegram before the booking. A meta-analysis of 10 healthcare studies found reminders raised attendance by 11% on average compared with usual practice (RR 1.11) (Al-Turbag et al., 2026). A sports club is a different setting, but the mechanism is the same: people who are reminded forget less.

In Odoo this is built with Appointments (resource booking with capacity and reminders), Website and payment providers, with Payme and Click connected through local integration.

How should memberships and coach schedules be managed?

Memberships come in three types: time-based (month, year), session-based (for example, 8 sessions) and family or corporate. Each is set up as a product, and the balance is tracked automatically once sold:

  • Every visit or booking is deducted from the membership balance.
  • A few days before expiry the member receives a renewal offer.
  • With automatic recurring payment (a subscription), the member does not need to come in and pay every month.
  • Discounting annual memberships is easy, and the IHRSA data above shows why longer contracts pay off.

Coach schedules are handled as resources, just like courts. Every session delivered is logged on the coach's record, and pay is calculated automatically at month end under the agreed rule (a fixed rate, a fee per session or a percentage). On HR and payroll: the Odoo HR module.

How do the café and shop connect to the club system?

The club café and sports shop are not separate businesses; they extend the service to the same member. Odoo POS handles tables and orders in the café and barcodes in the shop, using the same customer base. As a result:

  • Court, membership and café spend appear in one history.
  • Café ingredients and shop stock are tracked in inventory: how to run warehouse accounting.
  • When a till shift closes, cash, card and online payments are reconciled automatically.

More on the restaurant side: Odoo for restaurants and HoReCa.

What changes after automation: in numbers

  • The share of long memberships grows: month-to-month members cancel four times as often as 12-month members (IHRSA, 2015), and the system makes annual plans and auto-renewal easy to sell.
  • No-shows fall: automated reminders raised attendance by 11% on average in a meta-analysis (Al-Turbag et al., 2026), and prepayment shifts the cost of an empty court to the client.
  • Online payment becomes the norm: card-based cashless payments rose from 25% of GDP in 2021 to 72% in 2025 (UzDaily, KPMG, 2026), so online booking with payment is an expected standard rather than a perk.
  • More cards in circulation: according to the Central Bank, more than 68.27 million bank cards were in use as of 1 January 2026 (Kun.uz, 2026).
  • Double bookings and disputes over coach pay disappear, because the schedule and the calculation come from one source.

How does Deep Vision approach sports clubs?

Deep Vision is an official Odoo Gold Partner based in Tashkent. Our Odoo partner page lists 7 certified specialists, 24 client references (including entertainment businesses) and 89% customer retention (Odoo partner page). The team of Deep Vision founder Amon Olimov translated Odoo into Uzbek, so front-desk and café staff work in their own language: Odoo in Uzbek.

A typical sports club project runs like this:

  • Diagnostics: how bookings, memberships, payments and the café are handled today.
  • Phase one: courts and booking, memberships, online payment. Standard modules are often live in 6–8 weeks.
  • Phase two: coach pay, café POS, inventory and management reports. A full project typically takes 2–6 months.

Frequently asked questions

Does a small club need software?

Even a club with two or three courts faces double bookings, no-shows and cash control issues. Small clubs usually start with booking, memberships and payment, and add other modules later.

Can clients book through Telegram?

Yes. A link to the booking page sits in the Telegram channel or bot, and clients see free times and book themselves. Confirmations and reminders go out automatically.

Does it work with Payme and Click?

Yes, online payment connects through integration with local payment systems. Once the payment arrives, the booking is confirmed and recorded in the accounts.

How is coach pay calculated?

Every session delivered is logged in the system. At month end the calculation is produced automatically under the club's rule: a fixed rate, a fee per session or a percentage.

What if the club has several locations?

Each location runs with its own courts and till, while the member base and memberships can be shared. The owner sees occupancy and revenue by location.
