Automating apartment sales stages: 7 steps from lead to keys in MemorCRM

What MemorCRM does when a stage changes, why a 5-minute response matters, and what management learns from the funnel.

Published: 4 min read
Short answer: In MemorCRM an apartment sale moves through 7 stages: lead, showroom, booking, payment plan, contract, payment control and key handover. When a stage changes, the system does the next job itself: it sets a task, sends an SMS or assigns the responsible person. Salespeople no longer have to remember what comes next, and management sees exactly where buyers drop off.

At many developers the sales process lives in the salesperson's head. Who to call, who to send a contract to, whose payment is due: all of it sits in a notebook or Excel. If a salesperson falls ill or leaves, their buyers get "lost" too. This article looks in detail at how MemorCRM automates the sales stages.

What is sales stage automation?

Stage automation means the system performs a predefined action whenever a buyer moves from one stage to the next.

For example: a buyer moves to "Shown", and the system gives the salesperson a call task for tomorrow. A buyer books a unit, and the system notifies the cashier. A payment date approaches, and the buyer gets an SMS. The MemorCRM site describes it as "when a client's stage changes, the system sets a task, sends an SMS or assigns a manager by itself".

The 7 stages: what does the system do at each?

1. A lead arrives

A buyer gets in touch through Instagram or Facebook ads, Telegram, a call or Google Sheets, and the lead lands in the system automatically. It is assigned to a salesperson straight away.

Speed decides this stage. In a study by MIT Sloan professor James Oldroyd and InsideSales, calling a lead within 5 minutes instead of 30 made the odds of reaching them about 100 times higher and the odds of qualifying them 21 times higher (Lead Response Management Study). That is US data, but the lesson holds everywhere: the longer a lead waits, the colder it gets.

2. The apartment is shown

The salesperson shows free apartments in the showroom on floor plans with colour statuses. The buyer sees which units are still free, in the office or on a phone.

3. Booking

The chosen apartment is booked in one click. Its status changes from "Free" to "Booked", and no other salesperson can sell it.

4. Payment plan

The down payment and term (12 to 48 months) are chosen and the monthly schedule is generated. Several options can be shown side by side.

5. Contract

Passport data is entered and a template contract is ready in about 5 minutes. Unit number, area, price and schedule come from the system record.

6. Payment control

The system tracks invoices and payments and reminds buyers whose due date is near. Online payments come in through Click and Payme.

7. Key handover

The deal closes, the unit's status becomes "Keys handed over" and the buyer joins the customer list. Later they may refer others or buy again.

More on each stage: leads, showroom and booking, contracts and payments.

What do stages give management?

Once the process is split into stages, you can see how many buyers sit at each stage and how they move on. That is the sales funnel.

Management gets answers in numbers, for example:

  • How many of 100 leads came to the showroom?
  • How many shown apartments were booked?
  • How many bookings became contracts?
  • Which ad channel brought the most contracts?

If there are many leads but few showroom visits, the problem is the first call. If there are many bookings but few contracts, the problem is price or payment terms. More on funnels: what a sales funnel is.

Does automation replace salespeople?

No. Automation removes routine work: reminders, copying data, preparing documents. Conversations, trust and negotiation stay with the salesperson, who spends less time on paperwork and more with buyers.

Self-check

  • How many minutes does a new lead take to reach a salesperson?
  • If a salesperson leaves, is their buyers' history kept?
  • Do you know at which stage you lose the most buyers?
  • How many days pass on average between booking and contract?
